Because of all the recent buzz about unauthorized and unapproved third party vendors getting access to Dentrix software, I wanted to set the record straight with a practical, easy-to-understand explanation. I’m not here to name names because things change too quickly in this space, but I want to help you understand what an unauthorized vendor is, why it matters, and what you should be doing right now to protect your practice and patient data.

Understanding Unauthorized Access (With a Simple Analogy)

Think about your Dentrix software like your house. You own it, you live in it, and you expect it to be secure. Now imagine someone jumps your fence, breaks a window, and crawls into your kitchen every night to raid your refrigerator and pantry. They take what they want, leave a mess behind, and maybe toss back a few crumbs they don’t want.

At some point, you would call the cops because this is breaking and entering.

Now imagine a different scenario. Instead of breaking in, you offer them a key. You make an agreement: they can come in through the front door, take what they need (with your permission), and even leave something useful behind. They also pay you for the privilege. Suddenly, you have a secure, controlled, and respectful relationship.

That is the difference between unauthorized access (the back window) and approved vendor access (the front door). Unauthorized vendors use unsecure, unapproved pathways to pull patient data out of Dentrix and sometimes even write data back into Dentrix. Approved vendors, on the other hand, have an official API agreement with Henry Schein One. They use a secure, monitored pathway, which protects both your practice and your patients.

Why This Matters for Your Dental Practice

Your practice management software is the “Grand Central Station” of your office. Every piece of information, patient records, insurance claims, continuing care reminders, treatment plans, flows in and out through this system.

If you are using a third party vendor that is not approved, you are opening the door to multiple risks:

  • Data security threats – Patient data might travel through multiple unsecured channels, increasing the chance of exposure.
  • Workflow interruptions – Henry Schein can cut off unauthorized access at any time, which can break critical workflows overnight.
  • Compliance liability – As the practice owner or manager, you are ultimately responsible for safeguarding patient data under HIPAA.

Simply put: unauthorized access can cost you time, money, and potentially your reputation.

What You Can Do Right Now

Here is how to take control and ensure your practice is secure:

  1. Check the Authorized Vendor List
    Henry Schein maintains an updated list of approved vendors with over 140 of them having the “keys to the house.” Review this list regularly, especially before adding new tools for patient engagement, billing, or claims.
  2. Ask Your Vendor the Right Questions
    If you love your current vendor, ask them:
    • “Are you using the Dentrix API?”
    • “Are you listed as an authorized vendor with Henry Schein One?”
    • “If not, what would it take for you to join the program?”

If they cannot or will not answer, you need to consider the risk you are taking on by continuing to use them.

  1. Plan for Security Updates
    Dentrix, like all software, pushes regular security updates. If you rely on unapproved vendors, those updates could shut off your access without warning. Have a plan in place to pivot quickly if needed.
